Wrike and Smartsheet are two of the most popular Project Management Software Currently available options. While the two platforms looked similar at a general overview, when I started looking into the features in more detail I discovered a lot of differences.

After careful comparison, I recommend Wrike for small teams looking for a free tool and companies that need more integrations. Meanwhile, Smartsheet’s free plan offers more features for individual users and monthly billing for companies that don’t want to be tied to an annual contract.

At first glance, Smartsheet and Wrike appear to have similar pricing structures: They both offer a forever free plan, two comparably priced paid plans, and at least one enterprise plan with an undisclosed price (Wrike offers two enterprise plans, while Smartsheet offers a single enterprise plan).

Smartsheet’s free plan only supports one user and two editors, while Wrike’s free plan supports unlimited users. However, I appreciate that Smartsheet offers a monthly pricing option, while Wrike’s pricing is only annual, which may put off companies that don’t want to commit to a long-term contract.

Smartsheet vs. Wrike: Feature Comparison

Free Plan

Winner: Wrike

In terms of team size, Wrike’s free plan offers unlimited users, while Smartsheet only allows one user, two editors, and two viewers. Small Business Project Management Software For use by an entire team, Smartsheet’s free plan isn’t enough — although I think it’s fine for personal use.

However, in terms of features, Smartsheet’s free plan offers far more than Wrike. With Smartsheet, you get unlimited reports and dashboards, as well as four (out of five) project views, including Gantt chart and Dashboard. Its free plan even supports 250 automation and integration visits per month.

Wrike’s free plan is more limited and does not offer automation, dashboards, analytics, or integrations. Free Project Management Software I was a little disappointed to see that the platform offers a generous free plan. But Wrike’s free plan does provide access to multiple project views as well as subtask management, smart search, and use case project templates. Plus, it offers unlimited users, making it a better choice for teams.

Time Tracking

Winner: Wrike

Wrike is known for its people Time Tracking Softwareincluding Business, Enterprise, and Pinnacle plans. Smartsheet also offers native time tracking, but that’s its Resource management capabilitieswhich is a paid add-on that’s not included in the base plan. Neither Wrike nor Smartsheet offer time tracking in their free plans. You can also use third-party time tracking software and integrate it with either platform.

Winner: Tie

Wrike provides a certain number of automation tasks per user, which varies by plan. Smartsheet, on the other hand, provides a certain number of automation tasks for all users on each plan. For example, Wrike allows 50 automation tasks per user on its Team plan, while Smartsheet allows 250 automation tasks per month on its Pro plan.

I ran the numbers for the two cheapest plans and found that if you have 12 users or fewer, you’ll get more automation per user with Smartsheet, but if you have 13 or more users, you’ll get more automation overall with Wrike.

I recommend considering your own team size, frequency of automation usage, and budget to make a more accurate apples-to-apples comparison.

Smartsheet has more than 100 integrations, while Wrike has more than 400. Both software integrate with standard business tools like Microsoft Teams, Google Workspace, and Slack. Teams can also find compatible third-party apps for each platform for data visualization, communications, business intelligence, marketing, and security.

While it’s great that Wrike offers such a large number of connections, some of Wrike’s integrations are limited to the paid Wrike Integrate plugin, and it wasn’t entirely clear from the website which integrations were paid. It’s common for project management software to limit certain integrations to higher-tier plans, but I found it a little unusual that Wrike chose to make them paid plugins.

If you’re looking for a specific integration to use with Wrike, it’s definitely worth checking with the sales team whether it’s included in the plan tier or requires an additional fee for an add-on.

Safety

Winner: Tie

Users get advanced security features in Smartsheet and Wrike, such as SAML single sign-on (SSO), but these features are limited to enterprise Wrike also offers an additional layer of encryption through an add-on called Wrike Lock. Meanwhile, Smartsheet offers a variety of single-point security add-ons, including data retention policies and incident reporting.
